Compliance Training (LMS)

Learn how to manage staff training and compliance using Cicero's Learning Management System.

What is the LMS?

The Cicero LMS (Learning Management System) is a comprehensive training management tool that helps you:

  • Track Completion - Monitor staff progress on required training
  • Monitor Compliance - See who is compliant and who needs attention
  • Export Reports - Generate compliance reports for audits
  • Assign Training - Manage training requirements for staff
  • Integrate Education - Connect directly to Cicero's education platform

Accessing Compliance

  1. Go to the Information System
  2. Click Compliance in the sidebar
  3. View the compliance dashboard

Permission Requirements

Without LMS permissions, you'll be redirected to the dashboard.


Compliance Dashboard

The compliance page displays different views based on your permissions.

For Administrators (Edit LMS Permission)

Administrators see two main sections:

Staff Compliance Table

A comprehensive table showing all staff members with:

  • Name - Staff member name and photo
  • Compliance Status - Compliant or Not Compliant badge
  • Expand Arrow - Click to see individual training details
  • Last Updated - When status was last changed

Filter Tabs

Quickly filter the staff list:

  • All - Show all staff members
  • Compliant - Only staff who completed all required training
  • Not Compliant - Staff with incomplete training

Export to Excel

Click the Export Excel button to download a comprehensive compliance report:

  • Staff names and details
  • Individual training completion status
  • Completion dates
  • Overall compliance status

Perfect for audits, regulatory requirements, or management reviews.

Training Cards Section

All users with LMS permission see training cards:

Card Information

Each training card displays:

  • Thumbnail Image - Visual preview of the training
  • Title - Training name
  • Duration - Estimated time to complete
  • Your Status - Your personal completion status
  • Clinic Statistics - X of Y staff completed (for admins)
  • Progress Indicator - Visual completion percentage

Sort Options

Filter your training view:

  • All - Show all required trainings
  • Completed - Only trainings you've finished
  • Not Completed - Trainings you still need to complete

Compliance Statuses

Staff Compliance Status

Overall status for each staff member:

Individual Training Status

Status for each specific training:

Viewing Training Details

For Administrators

To see detailed training records for a staff member:

  1. Find the staff member in the compliance table
  2. Click the expand arrow on their row
  3. View their individual training records:
    • Training name
    • Completion status
    • Completion date (if completed)
    • Access to training content

For All Users

Your personal training status is visible on each training card in the grid.


Taking a Training

To complete a required training:

From Compliance Page

  1. Navigate to Compliance
  2. Find the training card you need to complete
  3. Click on the training card
  4. You'll be taken to the education content
  5. Watch/complete the content
  6. Pass any required assessments
  7. Your completion is automatically tracked

Access Codes

Some trainings require an access code:

  • The code is automatically included when you click from the compliance page
  • No need to manually enter codes
  • Direct access to restricted content

Completion Tracking

After completing training:

  • Status updates automatically
  • Compliance table refreshes
  • Completion date is recorded
  • Certificates generated (if applicable)

Compliance Statistics

Understanding the Numbers

On each training card (for administrators):

"5 of 12 completed" means:

  • 5 staff members have completed this training
  • 12 staff members are required to complete it
  • 7 staff members still need to complete

Clinic-Wide View

The compliance table shows:

  • Total staff count
  • Compliant count
  • Not compliant count
  • Percentage compliant

Exporting Compliance Reports

Generating Reports

  1. Navigate to Compliance
  2. Click the Export Excel button
  3. A spreadsheet downloads automatically

Report Contents

The Excel report includes:

  • Staff member names
  • Email addresses
  • Job positions
  • Overall compliance status
  • Individual training columns
  • Completion dates
  • Generated date/time

Training Requirements

How Training is Assigned

Training requirements are typically set by:

  • Clinic administrators
  • Job position requirements
  • Regulatory requirements
  • Manufacturer requirements

Role-Based Training

Different positions may have different requirements:

  • All staff: Basic safety, infection control
  • Clinical staff: Procedure-specific training
  • Equipment users: Device training
  • Managers: Leadership and compliance training

  1. Contact your clinic administrator
  2. Request View LMS (for personal training)

Troubleshooting

Common Issues

Training Won't Play

  • Check internet connection
  • Try different browser
  • Clear browser cache

Completion Not Recorded

  • Ensure you finished entire content
  • Pass any required quizzes
  • Wait a few minutes and refresh
  • Contact support if persists

Can't Access Compliance Page

  • Verify you have LMS permission
  • Check you're in correct clinic
  • Ask administrator for access

Export Not Working

  • Verify Edit LMS permission
  • Check popup blocker settings
  • Try different browser
  • Contact support if needed

Wrong Compliance Status

  • Refresh the page
  • Check training was fully completed
  • Verify correct staff member
  • Contact administrator

Integration with Education Platform

The LMS integrates with Cicero Education:

  • Training content comes from Education platform
  • Completion syncs automatically
  • Certificates issued through Education
  • Access codes managed centrally
