Clinic Documents

Learn how to store and manage documents in your clinic.

Overview

The Documents section provides secure storage for your clinic's important files. Store, organize, and access documents from anywhere.


Accessing Documents

  1. Go to the Information System
  2. Click Documents in the sidebar
  3. View your document library

Document Library

Display

The documents page shows:

  • Document List - All uploaded files
  • File Name - Document title
  • Type - File format (PDF, DOC, etc.)
  • Size - File size
  • Uploaded - Upload date
  • Uploaded By - Who uploaded

Organization

Documents can be organized by:

  • Folders - Create folder structure
  • Categories - Tag by type
  • Date - Sort by upload date

Uploading Documents

Adding New Documents

  1. Click Upload or drag-and-drop
  2. Select file(s) from your device
  3. Add optional details:
    • Title/Name
    • Category
    • Description
  4. Click Save

Supported Formats

Common file types:

  • Documents - PDF, DOC, DOCX
  • Spreadsheets - XLS, XLSX, CSV
  • Images - JPG, PNG, GIF
  • Text - TXT, RTF

File Size Limits

Check current limits for your plan.


Viewing Documents

Opening Files

  1. Find the document in the list
  2. Click to open/preview
  3. View in browser or download

Downloading

  • Click download icon
  • File saves to your device
  • Open with local applications

Managing Documents

Editing Document Details

  1. Click document menu
  2. Select Edit
  3. Modify title, category, or description
  4. Save changes

Deleting Documents

  1. Click document menu
  2. Select Delete
  3. Confirm deletion
  4. Note: Deletion may be permanent

Moving Documents

If folders are available:

  1. Select document
  2. Choose Move
  3. Select destination folder
  4. Confirm

Search and Filter

Finding Documents

  • Search Bar - Search by name
  • Category Filter - Filter by type
  • Date Filter - Find by date range

Document Types

Common clinic documents:

  • Business Documents - Registration, licenses
  • Staff Records - Contracts, certifications
  • Patient Forms - Consent templates
  • Policies - Procedures, protocols
  • Financial - Invoices, receipts
  • Compliance - Audit reports, inspections

  • Only clinic members can access
  • Based on clinic membership
  • Secure cloud storage
