Viewing Orders

Learn how to view and track orders placed through the Marketplace in your clinic.

Overview

The Orders section in the Information System shows all orders placed by your clinic through the Cicero Marketplace. Track order status, view order details, and monitor deliveries.


Accessing Orders

  1. Go to the Information System
  2. Click Orders in the sidebar
  3. View your order history

Permission Requirements

Order List

Display

The orders page shows:

  • Order Cards - Each order as a card or row
  • Order Number - Unique identifier
  • Order Date - When placed
  • Supplier - Supplier name and logo
  • Status - Current order status
  • Total - Order amount

Find specific orders:

  • Search - By order number or product
  • Date Range - Filter by date
  • Status - Filter by order status
  • Supplier - Filter by supplier

Order Statuses

Orders progress through these statuses:

StatusDescription
PendingOrder placed, awaiting confirmation
ConfirmedSupplier confirmed the order
ProcessingOrder being prepared
ShippedOrder dispatched
DeliveredOrder arrived at clinic
CompletedOrder fulfilled
CancelledOrder was cancelled

Status Colors

  • Blue - Pending/Processing
  • Yellow - Awaiting action
  • Green - Completed/Delivered
  • Red - Cancelled/Issues

Order Details

Click an order to see full details:

Order Information

  • Order Number - Reference ID
  • Order Date - Date and time placed
  • Status - Current status with history
  • Placed By - User who placed the order

Items Ordered

For each item:

  • Product image
  • Product name and description
  • Quantity ordered
  • Unit price
  • Line item total
  • Supplier product info

Financial Summary

  • Subtotal - Items total
  • Shipping - Delivery charges
  • VAT/Tax - Tax amounts
  • Grand Total - Final amount

Delivery Information

  • Delivery Address - Where order was sent
  • Delivery Instructions - Special notes
  • Tracking Number - When available
  • Estimated Delivery - Expected arrival

Tracking Shipments

Tracking Information

When orders ship:

  • Tracking number is provided
  • Carrier name shown
  • Link to tracking page

Viewing Tracking

  1. Find the order
  2. Look for tracking number
  3. Click to open carrier tracking
  4. View shipment progress

Order History

Viewing Past Orders

All completed orders remain in your history:

  • Searchable by date range
  • Filter by status
  • Export capabilities

Reordering

To reorder from a past order:

  1. Open the order details
  2. Click Reorder (if available)
  3. Items added to cart
  4. Adjust quantities as needed
  5. Complete checkout

Multiple Suppliers

Split Orders

If you ordered from multiple suppliers:

  • Each supplier's items grouped separately
  • Individual tracking per supplier
  • Status may vary by supplier

Order Organization

  • Main order ties everything together
  • Sub-orders per supplier
  • Independent status tracking

Export Options

Exporting Order Data

For record-keeping:

  1. Filter to desired orders
  2. Click Export (if available)
  3. Download file

Export Formats

  • Excel - Spreadsheet format
  • CSV - Data import format
  • PDF - Document format

Dashboard Integration

Quick Access

The dashboard shows:

  • Pending Orders - Count of orders awaiting delivery
  • Upcoming Orders - List of recent orders
  • Quick Actions - Link to orders page

Notifications

You may receive notifications for:

  • Order confirmations
  • Shipping updates
  • Delivery confirmations

Regular Review

  • Check order status regularly
  • Follow up on delayed orders
  • Verify deliveries when received

  • Use order numbers in correspondence
  • Report problems promptly

Troubleshooting

Common Issues

Order Not Showing

  • Check date range filter
  • Verify correct clinic selected
  • Refresh the page

Status Not Updating

  • Updates come from suppliers
  • Allow time for processing
  • Contact supplier directly

Tracking Not Working

  • Verify tracking number
  • Check carrier website
  • Contact supplier for correct info

Wrong Items Delivered

  • Document the issue
  • Contact supplier immediately
  • Reference order number

Connection to Marketplace

Orders in the Information System come from the Marketplace:

  • Place orders in Marketplace
  • View/track in Information System
  • Inventory updated when delivered

Workflow

  1. Browse products in Marketplace
  2. Add to cart
  3. Complete checkout
  4. Order appears in Information System
  5. Track status until delivery
  6. Add to inventory (Drawers)
