Managing Orders

Learn how to process and manage orders as a supplier in the Cicero Marketplace.

Overview

The Orders section allows you to view, process, and fulfill customer orders. Efficient order management ensures customer satisfaction and repeat business.


Accessing Orders

From Dashboard

  1. Navigate to Orders in the supplier sidebar
  2. View all incoming and historical orders
  3. Filter by status, date, or client

Order List

List View

The order list displays:

  • Order Number: Unique identifier
  • Date: When order was placed
  • Client: Clinic name and details
  • Status: Current order status
  • Total: Order amount
  • Items: Number of items
  • Actions: Process, view details

Search and Filter

Find orders using:

  • Search: By order number or client
  • Status Filter: Filter by order status
  • Date Range: Filter by order date
  • Sorting: Sort by date, status, amount

Order Statuses

Orders progress through these statuses:

Processing Orders

Viewing Order Details

Click an order to see:

  • Order Information: Number, date, status
  • Client Details: Clinic name, contact
  • Delivery Address: Shipping destination
  • Items Ordered: Products, quantities, prices
  • Order Total: Amount with breakdown

Confirming Orders

When a new order arrives:

  1. Review order details
  2. Check stock availability
  3. Click Confirm Order
  4. Status changes to Confirmed

Preparing Shipments

After confirmation:

  1. Gather ordered items
  2. Package products appropriately
  3. Generate shipping label
  4. Update order to Processing

Shipping Orders

When ready to ship:

  1. Click Mark as Shipped
  2. Enter tracking number
  3. Select shipping carrier
  4. Status updates to Shipped

Order Details

Order Information

Detailed view includes:

  • Order Number: Reference ID
  • Order Date: Date and time placed
  • Client: Clinic information
  • Delivery Address: Full shipping address
  • Delivery Instructions: Special notes

Items List

For each item:

  • Product image and title
  • Quantity ordered
  • Unit price
  • Line total
  • Any special remarks

Financial Summary

  • Subtotal (items)
  • Shipping charges
  • VAT/Tax amounts
  • Grand total

Tracking and Delivery

Adding Tracking

When shipping:

  1. Enter tracking number
  2. Select shipping carrier
  3. Save tracking information
  4. Client receives tracking update

Delivery Confirmation

When delivered:

  • Status automatically updates (if integrated)
  • Or manually mark as Delivered
  • Order moves to Completed

Order Actions

Available Actions

Depending on status:

Pending Orders

  • Confirm order
  • Cancel order
  • Contact client

Confirmed Orders

  • Mark as processing
  • Update estimated delivery
  • Cancel order

Processing Orders

  • Mark as shipped
  • Add tracking
  • Print packing slip

Shipped Orders

  • Update tracking
  • Mark as delivered
  • Handle issues

Cancelling Orders

If cancellation is needed:

  1. Click Cancel Order
  2. Provide cancellation reason
  3. Confirm cancellation
  4. Client is notified

Export and Reports

Exporting Orders

Export order data:

  1. Select orders or date range
  2. Click Export
  3. Choose format (CSV, Excel)
  4. Download file

Export Contents

Includes:

  • Order details
  • Client information
  • Item lists
  • Financial totals

Reports

Available reports:

  • Order summary by period
  • Revenue reports
  • Client order history
  • Popular products

Notifications

Order Notifications

You receive notifications for:

  • New orders received
  • Order status changes
  • Client messages
  • Cancellation requests

Configure notification preferences in your profile settings.

Timely Processing

  • Check for new orders regularly

Accuracy

  • Verify items before shipping
  • Double-check quantities

Troubleshooting

Orders Not Appearing

  • Check filter settings
  • Verify date range
  • Refresh the page
  • Contact support if persists

Status Update Issues

  • Ensure all required fields are filled
  • Check for validation errors
  • Retry the action
  • Contact support if needed

Tracking Problems

  • Verify tracking number format
  • Confirm carrier selection
  • Test tracking link
  • Update if incorrect
