Managing Supplier Staff

Learn how to manage your team members as a supplier in the Cicero Marketplace.

Overview

The Staff section allows you to invite, manage, and configure permissions for your team members. Control who has access to different parts of your supplier portal.


Accessing Staff Management

From Dashboard

  1. Navigate to Staff in the supplier sidebar
  2. View all team members
  3. Add or manage staff

Staff Overview

Dashboard Stats

The staff page shows summary cards:

  • Total Staff: All team members
  • Active: Currently active members
  • Pending: Invited but not yet accepted
  • Inactive: Deactivated members

Staff List

The list displays:

  • Name: Team member name
  • Email: Contact email
  • Status: Active, Pending, or Inactive
  • Role: Assigned permissions
  • Added Date: When they joined
  • Actions: Edit, manage

Inviting Staff

Adding Team Members

To invite a new team member:

  1. Click Add Staff Member
  2. Enter their email address
  3. Set their name
  4. Configure permissions
  5. Send invitation

Invitation Process

When invited:

  1. Team member receives email invitation
  2. They click the link to accept
  3. Create account (if new to Cicero)
  4. Status changes to Active
  5. Access granted based on permissions

Pending Invitations

Pending members appear with:

  • Status: "Pending"
  • Date invited
  • Option to resend or cancel

Staff Statuses

Team members have these statuses:

InactiveAccess revoked, cannot log in

Changing Status

To change a member's status:

  1. Open their profile
  2. Update status field
  3. Save changes
  4. Access adjusts immediately

Setting Permissions

When adding or editing staff:

  1. Open permissions section
  2. Toggle permissions on/off
  3. Save changes
  4. Takes effect immediately

Permission Templates

Common permission sets:

  • Admin: All permissions enabled
  • Sales: Orders, clients (view and edit)
  • Catalog Manager: Products (view and edit)
  • Viewer: View-only access to all

Editing Staff

Modifying Team Members

To edit a staff member:

  1. Click on their row or Edit button
  2. Update their information
  3. Adjust permissions as needed
  4. Save changes

What Can Be Edited

  • Name and contact info
  • Permission levels
  • Status (active/inactive)
  • Role assignment

Removing Staff

Deactivating Members

To remove access:

  1. Open staff member profile
  2. Change status to Inactive
  3. Save changes
  4. Access is immediately revoked

Account Retention

When deactivated:

  • Account is preserved
  • Can be reactivated later
  • History is maintained
  • Audit trail intact

Search and Filter

Finding Staff

Use the search box to find by:

  • Name
  • Email
  • Status

Filter Options

Filter the list by:

  • Status (Active, Pending, Inactive)
  • Role or permissions
  • Date added

Who Can Manage Staff

Staff management requires:

Self-Management

Team members cannot:

  • Remove their own admin access
  • Deactivate themselves
  • Change their own critical permissions

Best Practices

Access Control

  • Least Privilege: Give minimum necessary permissions
  • Regular Review: Audit permissions periodically
  • Prompt Removal: Deactivate departed employees quickly
  • Role-Based: Use consistent permission sets

Team Management

  • Clear Roles: Define responsibilities clearly
  • Documentation: Record who has what access
  • Training: Ensure team knows their capabilities
  • Accountability: Track who does what

Security

  • Strong Authentication: Encourage secure passwords
  • Access Logs: Review activity periodically
  • Immediate Action: Revoke access when needed
  • Updates: Keep contact info current

Troubleshooting

Invitation Not Received

  • Check spam/junk folder
  • Verify email address
  • Resend invitation
  • Check email deliverability

Cannot Access Features

  • Verify permissions are set correctly
  • Check member status is Active
  • Clear browser cache and cookies
  • Contact admin for permission updates

Cannot Edit Staff

  • Verify you have Edit Staff permission
  • Cannot edit own critical permissions
  • Some fields may be locked
  • Contact higher-level admin
